    Procurement & Payment Services

    The Office of Procurement and Payment Services responsiblities include accounts payable, contracts, p-card, procurement, travel, and vendor registration.

    • Budget Office -  Our responsibilities include, but are not limited to: maintaining and monitoring the budget throughout the fiscal year, including budget amendments; preparing periodic projections and forecasts; providing accurate and prompt reports and information to the University community; regarding budgetary and other financial matters; and position management and salary reallocations (retros).
    • Enterpise Reporting and Training (ERT) -  We provide help context for assistance on establishing a SAS account, provide user training, and guidance on how to access key reports and information about your department’s budget and spend data.
    • Bursar -  The Bursar's Office is a department within the Office of Fiscal Services (OFS). The responsibilities of the team in the Bursar's Office include, but are not limited to the following: Accounts Receivable; Cashier Services; Student Accounts Services. The Bursar's Office is committed to providing: accurate assessment of student tuition and fees; timely collection and receipt of University funds; timely disbursement of student refunds; and quality customer service to campus constituents. 
    • Financial Compliance/Allowability - The Financial Compliance team is responsible for assisting campus with general inquiries regarding allowable expenses with the use of institutional funds as well as general questions regarding University System of Georgia and Kennesaw State University policies. Financial Compliance also provides pre-approval for certain purchases such as employee group meals, gift cards, sponsorship, etc. 
    • General Ledger/Accounting - The general ledger is essential for financial reporting which provides a complete record of the university’s financial transactions. The General Ledger group is responsible for processing a vast range of financial transactions for assets, liabilities, revenue and expense accounts. Our duties include processing journal entries, account reconciliations; month-end & year-end close and assisting campus with accounting inquires pertaining to the ledger.
    • Insurance & Risk Management - The mission of the Office of Insurance and Risk Management is to administer the risk management and insurance programs for the University. Our responsibilities include, but are not limited to, the following: assist departments with insurance and risk management needs; determine adequacy of coverage; facilitate tracking of insurance claims; review insurance policies and present reports; identify and analyze loss exposures; consult with departments on loss control and insurance issues; examine loss records, review legal contracts, and address safety and risk issues; review projects and programs for potential risks; make recommendations to minimize or eliminate risks, injuries, or property loss; implement and monitor risk management programs; administer the institution’s risk management information system (RMIS); and administer the institution’s Driver Qualification Program.
    • Asset Management - The Asset Management team is responsible identifying and accounting for all of the University's capitalized assets and small value equipment according to the rules and regulations of the University System of Georgia (USG) and the Department of Administrative Services (DOAS). We ensure that purchases, dispositions and transfers are made in accordance with university requirements, applicable state and federal laws, and any other statutory guidelines. Our asset management responsibilities also involve inventory control, which includes overseeing a centralized perpetual inventory system that complies with state law; providing reporting for insurance purposes; and maintaining internal control of assets. We ensure that all non-consumable and non-expendable equipment having a life expectancy of three or more years, and an item acquisition greater than or equal to $3,000 in cost is properly tagged and recorded. We are also responsible for coordinating a periodic physical equipment inventory on a yearly basis with Department Inventory Custodians.

    • International Tax Services -  SSN/ITIN Procedures, Tax Reporting, Tax Treaty, Tax Status, Tax Withholding, U.S. Citizenship, U.S./Non U.S. Source Income, and Visa Types.
    • Accounts Payable (AP) - The AP team is responsible for efficiently processing non-payroll disbursements to employees, students, and vendors. The team is committed to making timely payments, ensuring appropriate controls, and courteously providing information to the campus community. 
    • Contracts - The Contract Management team is responsible for managing the flow of contracts submittedthrough the Contract Management System (CMS). Their responsibilities include: receiving all contracts, memoranda of understanding, letters of agreement, lecture orperformance agreements, licenses, terms and conditions, etc., related to all types oftransactions, prior to being signed; ensure all required departments have reviewed the contract; notifying department of contract approval status; and storing all contracts in the repository for the University.
    • P-Card - Kennesaw State University offers a purchasing card (P-Card) program as an option when conducting University business. This option simplifies day-to-day purchasing activities while enhancing cost-effectiveness. The P-Card program: simplifies the purchasing and payment process; expedites the ordering of goods and services; allows for quicker receipt of goods and completion of services; provides significant cost savings in the procurement/payment process associated with small dollar purchases; allows users to have direct contact with Suppliers; and provides electronic management controls and accountability. The Purchasing Card (P-Card) Program is the only charge card program authorized for use by State Agencies, units of the University System of Georgia, and technical colleges within the Technical College System of Georgia.
    • Procurement - Our responsibilities include the following: manage the University’s procurement and strategic sourcing efforts; administer the PeopleSoft Financials e-Procurement (ePro) system; administer the Purchasing Card (P-Card) program; oversee supplier relations for business opportunities with the University; and monitor internal controls of purchasing transactions to ensure compliance with all purchasing policies of the State of Georgia, Board of Regents of the University System of Georgia, and the University.
    • Travel - The Kennesaw State University Travel Team is a division of the Office of Fiscal Services, Procurement and Payment Services Department. Team members are available to answer questions by phone or email, to provide information to KSU employees related to travel policies and procedures. Specific support is provided in the use of Concur, which is the web-based travel application used for travel authorizations, booking and expense reporting. Our goal is to assist travelers from the start to prepare for safe, cost-effective travel on behalf of the university, and end by returning your reimbursable expenses in a timely and efficient manner. 
    • Vendor Registration - The Office of Fiscal Services (OFS) Vendor Registration team oversees registration of all domestic (U.S.) and international suppliers, companies or individuals that currently provide, or reasonably expect to provide, goods and/or services to the University. The Vendor Registration team also manages registration of KSU employees and students who require non-payroll related payments or reimbursements through Accounts Payable.
    • OFS ServiceNow: Contracts - Contract requests, approval, evaluation, renewals, or amendments, CMS, and University Contracts.
    • OFS ServiceNow: Financial Compliance/Allowable Spending - Inquiries about the use of Allowable Expenses regarding Institutional funds. Assistance with food purchases, gift card purchase requests, sponsorship requests, individual memberships, and employee group meals.
    • OFS ServiceNow: Financial Systems - For access/ workflow to Financial Systems (SAS, PeopleSoft, and P-Card Works), eProcurement reassignments, signature delegations, and financial reports access. 
    • OFS ServiceNow: General Inquiry - Inquiries regarding processes, vendor registration, and workflow questions.
    • OFS ServiceNow: Travel - Concur access, Travel related exception requests, updates, policy, or procedure questions.
